Identity verification for HOAs and condo associations
How HOA and condo association boards and property managers verify owner and tenant identity for registration, access and voting records.
An HOA or condo association manages who's registered to a unit, owners, tenants, the people on a voting record, often with only a lease or a self-reported name to go on. Identity verification gives a board or a property manager a way to confirm that the person being registered is who they claim to be, before that name goes into official records.
Why this matters for a board
Owner and tenant registration, building access provisioning, and voting eligibility all depend on knowing who a person actually is, not just what name appears on a form. Getting this wrong has real consequences: the wrong person gaining access, a vote cast under a disputed identity, or a registration record a board can't stand behind if it's ever challenged.
How verification fits into registration
When a unit owner or a new tenant needs to be added to the association's records, they complete a short verification on their own phone: a photo of a government ID front and back, a guided liveness check, and a selfie matched to the document. The barcode or the passport's machine-readable zone is cross-checked against the printed name, so the identity on file matches a document that's been read and checked, not just typed into a form.
- Unit owner registration: confirm the name on title matches a real, verified person before updating association records.
- Tenant registration: verify a tenant's identity the same way, independent of whatever the landlord already collected.
- Access provisioning: tie a fob, key or access credential to a verified identity, not just a name on a spreadsheet.
- Voting records: reduce disputes over who cast a vote by having a verified identity behind the registration in the first place.
The record a board can point to
When accessed through a Trust Ledger integration, every verification and related account activity is entered in the Activity Ledger, an append-only record enforced by the database. Coming soon for a standalone ShieldID API account. If a registration is ever disputed at an annual meeting or in a board meeting, that record, not someone's memory of a conversation, is what you point to.
