ShieldID

Rental and property management

Tenant identity verification, before you hand over the keys.

A borrowed licence, a doctored screenshot or an applicant you will never meet in person: ShieldID reads the government ID, matches the live face and proves a real person is there, so you know who you are actually renting to.

The problem, in your words

You cannot eyeball a text-message photo of an ID.

Rental applications move fast, and most of them happen without you ever standing across a desk from the applicant. Three patterns show up again and again.

Borrowed ID

The applicant is real, but the licence photo is a sibling's, a roommate's or a stranger's found online. A quick glance at a phone photo cannot catch this. A live face match against the document portrait can.

Synthetic identity

Real fields stitched onto a fake card, or a genuine document edited in an image tool. Barcode, MRZ and printed-field cross-checks and a document tamper score catch what a human skim misses.

Fraud at a distance

Out-of-province applicants, relocation tenants, corporate leases signed by an assistant. You are approving someone you have never met and may never meet, on the strength of a PDF.

A worked example

How it plays out for a fictional property manager.

Maple Grove Rentals is a fictional five-building portfolio in the GTA. Its applications close remotely. Here is one, start to finish.

  1. The application comes in

A prospective tenant applies online for a unit at 40 Birchcliff. The leasing coordinator sends a ShieldID verification link by email, or shows a QR code if the applicant is viewing the unit in person.
  2. The applicant verifies on their own phone

They photograph the front and back of their driver's licence and take a short liveness challenge. It takes a few minutes and needs no app install.
  3. The report comes back with per-field verdicts

Name, date of birth, address and document number each carry their own result, cross-checked against the barcode and the printed page. Face match is reported against a fixed decision line, not a bare score.
  4. The coordinator makes the call

On this file, every field checks out and liveness passes: the coordinator approves the applicant. ShieldID reports evidence, not an accept or decline — that decision, and the policy behind it, stays with Maple Grove.
  5. Six months later, a dispute

A neighbour disputes who actually lives in the unit. The coordinator pulls the Activity Ledger entry for the original verification: when the link was opened, when consent was given, the verified result and who at Maple Grove reviewed it. The ID image itself is long since purged; the record is not.

What matters most for this

The checks that catch a bad rental application.

Every check below runs on every verification. None of it is a paid extra you can decline to save money and quietly carry a hole in the file.

ID document verification

Canadian and US driver's licences, passports, PR cards and provincial ID, read front and back. The barcode and the printed page are checksummed and compared, so an edited or borrowed card shows a mismatch instead of a clean pass.

Face match

The selfie taken on the applicant's own phone is compared with the document portrait by a model built for phone photos, and reported against a fixed decision line.

Liveness detection

A short guided challenge, tracked on 478 facial landmarks over at least ten frames. A photo of someone else's face, a replayed video or a mask does not pass.

Fraud signals

Anti-spoof, deepfake and 3D-mask detection on the selfie, and document tamper scoring on the ID, reported on their own so you can see exactly which signal did or did not check out.

No refusals by document type

A newcomer's permanent-resident card or an out-of-province licence is read field by field, not rejected because the layout is unfamiliar. You get evidence for every applicant, not just the common cases.

Works without an in-person visit

A hosted link or a QR code shown at a showing hands the whole check to the applicant's own phone. Nobody needs to come to your office or mail in a photocopy.

For disputes and audits

What the Activity Ledger gives a property manager.

A verification without a record is just an opinion. Every action around a ShieldID verification is entered in an append-only Activity Ledger, enforced by the database: entries can be added, never edited or deleted.

What's on the record

Today
When the applicant opened the link, when they accepted the consent notice, the verified or failed result, and who on your team reviewed it — each with a timestamp and, for a team account, the actor's name.
Why it matters here
A tenant, a co-signer or a human-rights complaint can ask what happened and when. You answer from the ledger instead of a memory of a phone call from eight months ago.
What it protects you from
A claim that you never checked, or that you kept an applicant's ID forever. The images are purged automatically on a short timer; the fact that a check happened, and how it ended, stays on the record.

On the way

Per-image view and download events
Exactly who opened the ID photo itself and when, not just the result summary.
Decision events
Your own accept-or-decline decision, and the reason, recorded against the verification.
Purge receipts
A ledger entry each time an image is automatically deleted.
Applicant self-service view
A page where the applicant can see who accessed their own verification.
CSV export
A spreadsheet export for a landlord or manager who does not want to work in JSON.

How it fits your workflow

Three ways to plug it in.

Pick the one that matches how you already run applications.

Hosted link or QR code

Email or text a verification link with an application, or show a QR code at a showing. The applicant's phone does the capturing; your desktop never needs a camera.

API

One REST API for a portfolio management system or a custom applicant portal: create a session, send the link, receive a signed webhook when the result is in. Sandbox sessions are never billed.

RentKey

If you already screen applicants on RentKey, this is already running underneath it. ShieldID is the identity layer RentKey's tenant screening is built on.

Privacy and consent

What to know before you ask a tenant for ID.

This is background, not legal advice. Rules on what a landlord may collect, and for how long, vary by province and by use. Check your own counsel and your provincial tenancy rules before you set a policy.

  • The applicant's consent to the check is captured on their own phone, before capture begins — it is their consent, not yours to give on their behalf.
  • ID images are purged automatically on a short timer, seven days by default, configured for the service as a whole; keep your own file notes if your policy needs a longer paper trail.
  • ShieldID reports verdicts and evidence. Whether to approve, decline or ask for more information is your decision, made under your own tenancy and human-rights obligations, not an automated call from the API.
  • Data is processed and stored on Crown Stack's own self-managed servers; ShieldID does not publish a physical location, city or data-centre name, and holds no PIPEDA certification — consent and encryption are the safeguards it can point to today.

How this compares

Against a phone photo and a hunch.

Categories, not vendor names. "Typical enterprise IDV" describes what we found across the identity-verification market broadly; your mileage will vary by vendor.

Objections, answered

What landlords and property managers ask first.

Straight answers, including where we do not have one yet.

Can I legally ask a rental applicant for government ID?

It depends on your province and what you are using it for. This page is not legal advice — check your provincial tenancy rules and your own counsel before you set a policy. ShieldID gives you the verification tool; the policy is yours to set.

Won't this slow down a good applicant?

The check runs on the applicant's own phone in a few minutes, whenever suits them, not in your office. Sandbox sessions are free, so you can try the flow yourself before you send it to anyone.

What if an applicant's ID looks unfamiliar to us, like a newcomer's PR card?

ShieldID reads whatever it can from any document and reports each field's own verdict instead of rejecting the whole thing because the layout is unfamiliar — the same evidence, whatever ID a genuine applicant happens to hold.

We already screen through RentKey. Do we need this separately?

No. ShieldID is the identity layer RentKey's tenant screening already runs on. If you use RentKey, this is already part of your workflow.

What happens to the ID photo afterward?

It is purged automatically on a short timer, seven days by default. The Activity Ledger entry describing the check outlives the image.

What you see

Your applicant's phone, and what comes back to you.

The applicant verifies from the link in their application. Before a lease goes out, you see every field that was read and a verdict for each check.

Illustration with sample data: an applicant's phone in the hosted verification flow, and the ShieldID portal showing the result for Maya Lefebvre, Ontario driver's licence, Rental application, Unit 4B, with the fields read from the ID and twelve checks.
